The information and data we collect and how we collect it
Riverside Holidays Ltd collects information about you as part of our business process and functions by you contacting us by phone, email, text, through our website or online booking system.   The information normally includes your name, address, telephone number, names of party members, a contact email address, payment arrangement details and special requirements such as those relating to any disability or medical condition which may affect any party member’s holiday arrangements.  We may keep a record of our correspondence with you for record or training purposes, to improve the quality of our offering and to prevent and detect fraud.

We may also work with third parties such as online travel agents and may receive information about you from them.

We may use your personal and guest information and data to:

  • Process and administer your booking
  • Communicate with you by email, phone or text in relation to your stay, and managing your booking before and throughout your stay.
  • Carry out our obligations arising from any contracts entered by you and us
  • We may contact you after your stay to seek your views or comments on the services we have provided
  • Notify you of any changes to our services
  • Send you marketing or promotional communications which may be of interest to you, should you opt-into this service
  • Analyse and review data for marketing and training purposes of Riverside Holidays Ltd.
  • Other communications, for example, responding to requests or general customer service

How we may share your information and personal data
Riverside Holidays Ltd may pass on your personal details to individuals and organisations (such as the property owner(s), key holder(s) and admin assistants, cleaning team etc) as part of our business process and functions. This is so that your holiday booking may be managed and provided. We keep your information securely and do not share it with third parties, other than as outlined in this statement or where permitted by law.

Sensitive personal data
We do not collect sensitive personal data (such as racial or ethnic origin, nationality, political opinions, religious beliefs etc) unless it is volunteered by you. To tailor product offers to your circumstances, we may sometimes ask for information such as your age or any disability that you may have.  As with all data, it is entirely up to you to decide whether you are happy to provide this information. Sensitive personal data will only be used for us to fulfil our contract with you to provide the services that you have requested. We may use data provided by you to serve you better and meet your particular needs (for example, the provision of disability access). You do not need to provide us with personal information simply to browse our website.

How do we treat your information?
All details you give to Riverside Holidays Ltd at any time will be kept for the period of your booking, holiday and such reasonable period thereafter. We keep your information securely and do not share this information with third parties other than as set out in this statement. Only names, contact details and any booking preferences will be used for marketing purposes unless you are informed otherwise when you provide the information. The companies and third parties (owner / key holders) to whom we disclose customer details may contact you. If you do not wish to receive any of the communications set out in this statement, please inform us as soon as possible by letter or e-mail, the details of which are set out above.

Opt-out
Marketing & promotional e-mails provide a link at the end of the e-mail to unsubscribe from that service.

Please note that it is not possible to opt-out of receiving communication from us which relates to your booking(s) with us.

You can opt-out of our marketing and promotional emails (at any time for any reason) by sending an email directly to riversideholidaysnorfolk@gmail.com with the subject line: Opt-Out. We will action your request as soon as possible (normally within 1 month), but please be aware you may still receive emails from us about your reservation or stay or to fulfil any part of a contract we may have with you, or a possible contract we were discussing with you.

Non-disclosure to third parties
We will not share your data with any other company for marketing purposes.

We may share your data with agencies such as law enforcement or governmental organisations where we are required to make such disclosures by any applicable law.

We may share your data with banks and payment providers, to authorise and complete payments.

We may pass your information to our third-party service providers, agents, sub-contractors and other associated organisations for the purposes of completing tasks and providing services to you on our or your behalf (for example to process payments and send you email correspondence). However, when we use third-party service providers, we disclose only the personal information that is necessary to deliver the service, and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes. Please be reassured that we will not release your information to third parties for them to use for their own direct marketing purposes, unless you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.

Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies
If you leave a comment on our site, you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen option cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
